Void a Transaction Manually
Step 1: Recreate the transaction with reversed values
- Look
up the transaction you want to void. Print or make note of the transaction
details.
- Create a new transaction
with exactly the same details as the original, but with negative amounts
for costs and quantities (for example, an amount of 43.36 changes to -43.36) Details should
include:
- Departments (Sage 50 Premium Accounting)
- Project allocations
Notes
If the original transaction has a control number, such
as an invoice or cheque number, add VOID to the end
of this number in the new transaction.
Also if you want to adjust paycheques in the next fiscal year or calendar year, you must have a service plan. (Sage 50 Premium Accounting)
- (Optional) If the original invoice was paid by credit card and you have set up a merchant account, first click the Process Credit Card button to verify the credit card information, then click Refund.
- (Optional) Review
the new transaction in a report. In the Reports menu, choose Transaction
Details and then choose the transaction type.
- Click Process.
Step 2: If unpaid, remove original sales or purchase invoice
If you are manually
voiding an unpaid sales or purchase invoice, you must complete the following
task to ensure the original and voided invoices are not shown to be outstanding
in your statements and reports:
To void an unpaid sales invoice
- Open the Receipts window. How?
- In the Home window, click Customers & Sales on the navigation pane.
- In the Tasks pane, right-click the Receipts icon and select Create Receipt from the menu.
- Select a payment
method.
- Select the
customer, then enter a date and a receipt number, such as 123-REV, that
indicates a void.
- In the Amount Received column, click to select both the
original and void invoices. Sage 50 Accounting will automatically enter
the full invoice amount for each one. Press the Tab key to ensure that
the amount in the Total box is zero.
- Click Process.
To void an unpaid purchase
invoice
- Open the Payments window for purchase invoices. How?
- In the Home window, click Vendors & Purchases on the navigation pane.
- In the Tasks pane, right-click the Payments icon and select Pay Expenses from the menu.
- Select a method
of payment.
- Select the
vendor, then enter a date and a cheque number, such as 123-REV,
that indicates a void.
- In the Payment Amount column, click to select both the
original and void invoices. Sage 50 Accounting will automatically enter
the full invoice amount for each one. Press the Tab key to ensure that
the amount in the Total box is zero.
- Click Process.
