Allocate Transaction Amounts to Projects

ClosedBefore you can perform this task

Make sure the account used for the transaction is set up for project allocation. In the Account record, on the Account tab, select Allow Project Allocations.

Transactions in which you can allocate amounts:

Select the type of allocation you want to perform:

ClosedPaycheque amounts

  1. Open the Paycheques window. ClosedHow?
      1. In the Home window, click Employees & Payroll on the navigation pane.
      2. In the Tasks pane, right-click the Paycheques icon and select Create Paycheque from the menu.
  2. Click Project on the right side of the toolbar.
  3. Select a blank line in the Project column and press Enter to open the Project list.
  4. Select a project from the list and click Select.
  5. Type the number of hours, dollar amount, or percentage (depending on your settings) to allocate to that project.
  6. If you are allocating this transaction to more than one project, repeat steps 3-5 as necessary.
  7. Click OK to return to the Paycheque window.

ClosedPaycheque amounts in a payroll cheque run

  1. Open the Payroll Cheque Run window. ClosedHow?
      1. In the Home window, click Employees & Payroll on the navigation pane.
      2. In the Tasks pane, click the Payroll Cheque Run icon.
  2. Select the employee whose paycheque you want to allocate.
  3. Click Project on the right side of the toolbar.
  4. Select a blank line in the Project column and press Enter to open the Project list.
  5. Select a project from the list and click Select.
  6. Depending on your company's allocation settings, type the dollar amount, percentage, or hours (Regular, Overtime...) that you want to allocate to the project.
  7. If you are allocating this transaction to more than one project, repeat steps 4-6 as necessary.
  8. (Optional) To use these allocations for all of the paycheques in the payroll cheque run, select Apply this allocation to entire transaction. This option overrides allocations already defined for other paycheques in the payroll run.

    Note: This option converts the specified amount or hours into a percentage before allocating each paycheque in the payroll run.

  9. Click OK to return to the Payroll Cheque Run window.

ClosedAn entire transaction  (Sage 50 Quantum Accounting)

  1. In the transaction window, open the Project List menu.
  2. Select a project from the list. The transaction is 100% allocated to the selected project.

Note: Click the pushpin next to the Project List menu to use the selected project in multiple transactions.

ClosedLine item amounts in a transaction (including General Journal entries and Inventory adjustments)

  1. In the transaction window, select a line item and click Project.
  2. (Optional) Select Apply this allocation to entire transaction. This option allocates all the amounts in the transaction by the same percentage, regardless of your allocation setting.
  3. Select a blank line in the Project column and press Enter to open the Project list.
  4. Select a project from the list and click Select.
  5. Type the dollar amount or percentage (depending on your settings) to allocate to that project.
  6. If you are allocating this transaction to more than one project, repeat steps 3-5 as necessary.
  7. Click OK to return to the transaction window.

Note: If each line item is allocated to a different project, By Line is indicated in the Project List menu. If you allocate a line item to a project and then select a project from the Project List menu, the line item allocation is removed. (Sage 50 Quantum Accounting)

ClosedFreight amounts in a transaction

  1. In the transaction window, select the freight line and click Project Allocation on the same line.
  2. Select a blank line in Project column and press Enter to open the Project list.
  3. Select a project from the list and click Select.
  4. Type the dollar amount or percentage (depending on your settings) to allocate to that project.
  5. If you are allocating this transaction to more than one project, repeat steps 3-5 as necessary.
  6. Click OK to return to the transaction window.

ClosedTime slip amounts

  1. In the Time Slip window, select the item line and click Project.
  2. (Optional) Select Apply this allocation to entire transaction. This option allocates all the amounts in the transaction by the same percentage, regardless of your allocation setting.
  3. Select the way the activity should be allocated from the Allocate based on list:

    Note: You can only select an allocation option if its column has been filled on the time slip.

  4. Select a blank line in the Project column and press Enter to open the Project list.
  5. Select a project from the list and click Select.
  6. Type the allocation amount you want to allocate to the project in the appropriate column.
  7. If you are allocating this transaction to more than one project, then repeat steps 3-5 as necessary.
  8. Click OK to return to the transaction window.
