Set up Printer Options for W-2 or W-3 Forms

Before printing W-2 or W-3 forms, set up your printer options as follows:

For pre-printed forms

  1. In the Home window on the Setup menu, choose Reports and Forms, then select Government Forms, and then Federal Payroll.
  2. In the Printer box, select your printer.
  3. Click the Setup button and set the Paper Size to Letter. Then click OK to close the setup window.
  4. Select the following options:
    1. In the Form Type box, select the appropriate pre-printed form type.
    2. In the Font box, select the default font, Arial.
    3. In the Size box, select the default size, 8. If you use a font other than Arial, the font size should typically be 10 points or less.
    4. Perform a test print, and change the top and left margin settings so that the text prints correctly in the boxes on the form.
  5. Click OK.

For Sage Simply Accounting's government-approved plain-paper forms

  1. In the Home window on the Setup menu, choose Reports and Forms, then select Government Forms, and then Payroll.
  2. In the Printer box, select your printer.
  3. Click the Setup button and set the Paper Size to Letter. Then click OK to close the setup window.
  4. In the Form Type box, select the plain-paper option.
  5. Click OK.
