Void a Transaction Manually

To void a transaction manually:

Step 1: Recreate the transaction with reversed values

  1. Look up the transaction you want to void. Print or make note of the transaction details.
  2. Create a new transaction with exactly the same details as the original, but with negative amounts for costs and quantities (for example, an amount of 43.36 changes to -43.36) Details should include:
  3. Departments (Premium)
  4. Project allocations

Notes

If the original transaction has a control number, such as an invoice or check number, add VOID to the end of this number in the new transaction.

  1. (Optional) If the original invoice was paid by credit card and you have set up a merchant account, first click the Process Credit Card button to verify the credit card information, then click Refund.
  2. (Optional) Review the new transaction in a report. In the Reports menu, choose Transaction Details and then choose the transaction type.
